Phineas J Holdings LLC ("Phineas," "we," "us," or "our") operates the Phineas behavioral intelligence platform at askphineas.com (the "Service"). This Privacy Policy explains what information we collect, how we use it, and your rights with respect to that information.
By using the Service, you agree to the collection and use of information as described in this policy. This Privacy Policy is incorporated into and governed by our Terms of Service.
2.1 Account Information
When you create an account, we collect your name, email address, and payment information. Payment information is processed and stored by Stripe and is not stored directly by Phineas.
2.2 Subscription and Billing Data
We receive subscription status, plan tier, and billing event data from Stripe in order to manage your access to the Service.
2.3 Content You Enter
The Service stores content you actively input, including team member records (names, roles, tenure, and optional identifiers), behavioral observations, case records, assessment reports, and case actions. This content is referred to collectively as "Your Data."
2.4 Usage Data
We may collect technical information about how you access and use the Service, including browser type, device information, IP address, and pages visited. This information is used to operate, maintain, and improve the Service.
We use the information we collect to: (a) provide, operate, and maintain the Service; (b) authenticate your identity and manage your subscription; (c) process payments through Stripe; (d) respond to support requests and communications; (e) improve the Service; and (f) comply with legal obligations.
We do not sell your personal information or Your Data to third parties. We do not use Your Data to train AI models.
The Service uses Anthropic's Claude API to process observation text for translation into structured behavioral records, pattern detection, and assessment and disposition report generation. When you log an observation or trigger an AI-assisted feature, the relevant text is transmitted to Anthropic's servers for processing.
Anthropic's handling of data transmitted through the Claude API is governed by Anthropic's own privacy policy and terms of service. Phineas does not control Anthropic's data handling practices. We recommend reviewing Anthropic's privacy documentation at anthropic.com.
We do not knowingly submit sensitive personal information — such as protected health information, government identification numbers, or financial account details — to the Claude API, and our Terms of Service prohibit users from doing so.
Your Data is stored in Cloudflare's D1 database infrastructure. Cloudflare operates globally distributed data centers. By using the Service, you acknowledge that your data may be stored and processed in data centers outside your country of residence.
We implement reasonable technical and organizational measures to protect your data from unauthorized access, alteration, or destruction. These measures include authentication controls via Clerk, encrypted transmission (HTTPS), and access controls scoped to individual user accounts.
No method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security of your data.
All operational data — including observations, cases, team member records, patterns, assessments, and case actions — is scoped to your individual manager account. Other users of the Service, including other managers on a shared Team plan, cannot access your operational data.
On Team plans, account owners and admins can view the list of managers in their account, including email addresses and assigned roles, through the Team Settings screen. They cannot access any individual manager's observations, cases, or team member records.
Phineas J Holdings LLC, as the operator of the Service, administers the underlying database infrastructure and may access data in the course of operating, maintaining, or troubleshooting the Service.
We use the following third-party service providers to operate the Service. Each provider's handling of data is governed by their own privacy policies.
Clerk (clerk.com)
Authentication and user account management. Clerk processes your email address and account credentials.
Stripe (stripe.com)
Payment processing and subscription management. Stripe processes your payment information and billing data.
Cloudflare (cloudflare.com)
Infrastructure, database hosting (D1), and DNS. Cloudflare stores Your Data and serves the Service.
Anthropic (anthropic.com)
AI processing via the Claude API. Observation text and related content is transmitted to Anthropic for AI-assisted features.
We retain Your Data for as long as your account is active. If you cancel your subscription, your data remains stored for a reasonable period to allow for reactivation or data export requests, after which it may be deleted in accordance with our standard practices.
If you request deletion of your account and data, we will make reasonable efforts to delete Your Data from our active systems, subject to any legal retention obligations.
Depending on your jurisdiction, you may have rights with respect to your personal information, including the right to access, correct, or delete your data. To exercise any of these rights, contact us at support@askphineas.com.
We will respond to verifiable requests within a reasonable timeframe and in accordance with applicable law.
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a minor, contact us at support@askphineas.com and we will take steps to delete it.
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy at askphineas.com/privacy and updating the effective date. Your continued use of the Service after the effective date constitutes acceptance of the updated policy.
